First Stage is Milwaukee's premiere non-profit theater for young people and families and has grown from a small theater group to a nationally acclaimed company drawing annual audiences of more than 135,000 people. With a season including six family series plays and two First Steps shows (more than 300 performances annually), First Stage has become one of the largest programs in the nation. First Stage offers arts-in-education programs, spending more than 2,000 hours annually in classrooms throughout southeastern Wisconsin, and the First Stage Theater Academy, a professional theater training program teaching "life skills through stage skills" to 2,000 enrollments of young people ages 3 - 18 each year. The Academy Manager’s primary objectives are to manage all administrative aspects of the Academy and provide support for families. The Academy Manager will obtain these objectives by completing administrative tasks, providing excellent customer service and supervising office processes for all locations. Academy staff members are team players, lead by example, exhibit a strong work ethic and are committed to the Academy philosophy of teaching life skills through stage skills and transforming lives through theater.

  • Evaluate and manage office policies, procedures, correspondence and administrative tasks

  • Direct the Academy enrollment process: monitor class sizes, capacities, and waitlists; ensure accuracy in online and in-person registration entry; post all daily deposits and maintain quality control utilizing our database, Tessitura

  • Coordinate projects between Academy, Development and Marketing departments

  • Manage, forecast and communicate all budgeting needs for the Academy

    Academy Administration

     Evaluate and manage office policies, procedures, correspondence and administrative tasks 
             o Oversee data entry
             o Assist with customer service
             o Aid in facilitating systems and communications in the Academy office 
             o Create yearly Academy calendar
             o Conduct a yearly review of Academy procedures and processes
             o Train administrative staff at satellite locations as needed.

    • Realize professional and technical knowledge by attending workshops or training sessions in Tessitura and administrative opportunities as they arise.

    • Direct the Academy enrollment process: monitor class sizes, capacities, and waitlists; ensure accuracy in online and in-person registration entry; post all daily deposits and maintain quality control

                            -Facilitate invoicing, waitlists and payment plans for all registrations
                            -Perform collections on past-due balances

    • Generate contracts for and collect new employee paperwork, track, and submit background checks on all adjunct Academy employees

    • Manage contracts and memorandums of understanding with satellite locations

    • Work with Director of Young Company on YC administrative needs as directly related to the Academy communication pieces

    • Collaborate with Marketing Director to ensure completion and delivery of all brochures and marketing pieces in conjunction with Academy Director

      Academy Grant Reporting

    • Synchronize grant processes between Academy office and Development: application, midterm and post grant reporting

    • Organize process of writing MPS contract and final reporting in conjunction with Education 

      Academy Accounting

    • Manage, forecast and communicate all budgeting information to Academy Staff and report to Managing Director on all budgeting needs

    • Submit adjunct payroll

    • Facilitate collection process

    • Submit and monitor all Academy expenses, invoices, satellite contracts, mileage, etc.

    • Work with Academy Administrative staff to facilitate all year end processes for accounting

    QUALIFICATIONS Excellent communication and customer service skills are critical, along with the ability to adjust communications styles to varied youth, parent and professional populations. Bachelor or Master’s degree in Business along with five years of management in the field is required. Proven Microsoft Office proficiency (Word, Excel, Power Point, etc); experience with a database system and a willingness to learn and maintain our internal database system, Tessitura, is required. Spanish-speaking capabilities are advantageous but not required. Though a theatre background is not vital, a strong appreciation and understanding of arts education is necessary. Ability to pass a background check is required.
