As a member of the Sharon Lynne Wilson Center for the Arts Leadership Team reporting to the Executive Director, this position manages day-to-day operations of the Center including systems implementation, facility maintenance, HR system efficiencies. The Director of Operations is responsible for strategically planning, organizing, and directing activities of Wilson Center operations. Has oversight for managing guest services, house management, special events, and HR. Responsibilities include the oversight of the Wilson Center Operations and Facilities, internal and external rental clients, and supervision of house management and hospitality/guest services staff.

Key Responsibilities:

  1. Has fiscal responsibility for the Operations and Facilities budget, including the preparation of an annual budget in consultation with the senior staff and executive leadership.

  2. Meets regularly with the Executive Director and the Facilities Committee of the Board providing updates, quarterly reports, and any other documents as requested.

  3. Responsible for management (safety, crowd count and control, volunteer usher coordination, and patron services). Oversees all aspects and types of events including but not limited to rehearsals, meetings, receptions, performances as well as special events. Responsible for ensuring the Wilson Center’s high standard of quality while promoting efficiency and cost savings.

  4. Responsible for relationship building and communication with all prospective internal and external rental clients and Wilson Center resident companies in order to ascertain needs and coordination of events from contract to billing. This position will be the sole source for rental client pricing and will ensure that rental rates are consistently and fairly applied and is responsible for related negotiations. Responsible for the execution of correct and binding legal documents related to rentals. Responsible for recording of all Wilson Center equipment and services consumed by renters, staff hours, and for the production of accurate bills and follow through on payment.

  5. Works with the Facilities Committee of the board. Develops appropriate policies and procedures for the center (such as: rental agreements, safety plans, HR policies), in consultation with the Executive Director, leadership team, and board advisors.

  6. Oversight and maintenance of an accurate calendar of daily events taking place at the Wilson Center. Carefully monitors rentals of the facility and prioritizes those events.

  7. Department administrative responsibilities include budget oversight and income goal projection for the Wilson Center working with the Executive Director and senior management team. Work to ensure that all expenditures fall within set budgets and maximize a positive net outcome. Monitor load and nature of work, staff, and equipment resources, and shift resources to meet current and future needs. Manage RFPs for the Wilson Center once appropriate personnel have drafted those required by board policy.

  8. Work closely with the Executive Director to strategize short-term and long-term goals for revenue-producing activities and overall institutional direction of the Center. Work closely with key areas (Development, Marketing, and Curation & Engagement) within the Center to identify and accomplish institutional goals.

  1. Implements facility maintenance plans, tracks long-term facility and equipment needs, seeks bids and implements work orders.

  2. Directs Board Facility communications ensuring that agendas and reports are distributed, maintains files and budgets with accurate up to date record keeping.

  3. Attends Wilson Center programs and special events as needed

  4. Other duties as assigned.

Essential Skills/Qualifications:

  •   Bachelor’s Degree in related field (patron services/operations/business)

  •   5 years’ experience in administrative and supervisory experience preferably in the performing arts industry

  •   Requires strong computer skills MS Office Suite, Excel, other software programs and research skills.

  •   Ability to work in a collaborative environment, supporting shared goals.

  •   Ability to work some nights and weekends for events and meetings as required.

  •   Experience and knowledge of Tessitura ticketing database is preferred but not required.

  •   Ability to manage a multi-dimensional team, including a full-time Guest Services Manager and Hospitality and Events

    Manager and part-time House Managers, Volunteer Ushers, and event over-hires.

    Preferred Skills and Abilities:

    Strong communication skills, including a clear ability to communicate in writing and verbally, as well as make presentations. Ability to maintain a high level of confidentiality. Must be able to use tact and diplomacy. Highly organized, self-motivated, and possess ability to handle multiple tasks simultaneously.
