UPAF Seeks Office Administrator
Reports to: Chief Administrative Officer
Primary Working Relationship: Administration Team
The Office Administrator is frequently the first person to interact with donors and volunteers visiting or calling the office, so a strong sense of customer service is critical to success in this position. The Office Administrator also provides administrative support for the Administration Team and handles office supplies and equipment. The position normally works in the UPAF Office, but during the pandemic, flexible workfrom-home schedule is available.
➢ Screen and forward all incoming telephone calls to the main switchboard
➢ Greet all visitors and receive delivery items
➢ Receive and process cash and checks received via mail and hand-delivery
➢ Sort and deliver incoming mail and process general outgoing mail
➢ Monitor and order all office supplies, and track supplies expense against budget
➢ Monitor maintenance needs for office equipment and schedule repair appointments as necessary
➢ Maintain office phone system
➢ Provide administrative support to the Administrative Team o Printing and posting solicitation and acknowledgement mailings o Perform data maintenance on donor records
o Research questions about pledge and donation history
o Record and publish Audit and Finance Committee minutes
➢ Other duties as assigned

➢ Excellent organizational skills and strong attention to detail
➢ Strong communication skills and able to work well in a team environment
➢ Proficient in Microsoft Office products
